How Inspire Leave uses your information

Inspire Leave is run by Inspire Saint James Clerkenwell to manage time off for its staff. This notice explains what it holds about you, why, who can see it and for how long.

What we hold

Your name, work email, the Inspire Centre username you sign in with, your workgroup and line manager, your work pattern, your employment start and end dates, your leave allowances, and the leave and absence you request or that is recorded for you — including what you write in a request. Sickness absence is health information and is treated with extra care.

Why

To run your employment: to give you the leave you are entitled to, to plan cover, and to meet our legal duties as an employer. We use it for nothing else, and we do not share it outside the church except with the companies that host the app and send its emails on our behalf.

Who can see it

Colleagues can see that you are on leave and its type, as they can on a shared calendar. What you write in a request is seen only by you, your line manager and administrators. Sickness is seen only by you, your line manager, administrators and the most senior leader. Every time someone else opens your sickness record it is logged, and you can see that log.

How long

Leave records are kept for 6 leave years after the one they fall in; sickness records for 3. After you leave, your details are kept for 6 years and then anonymised. Deletion happens automatically.

Your rights

You can download everything Leave holds about you from My settings, and ask the operations manager to correct anything that is wrong. You can also ask what we hold, ask us to restrict or delete it where the law allows, and complain to the Information Commissioner's Office (ico.org.uk).
